Recurring Shift Templates
Most NDIS participants have the same support hours week after week. Recurring shift templates let you define the pattern once and automatically generate shifts for weeks or months ahead.
Creating a Recurring Template
1
Go to Shifts → Templates, then click "+ New Template".
2
Fill in the template details:
| Field | Notes |
|---|---|
| Template Name | e.g. "Maria — Mon/Wed/Fri Morning Support" |
| Participant | Who this template is for |
| Support Worker | Assign a specific worker, or leave blank for open shifts |
| Service Type | NDIS support item for billing |
| Recurrence Pattern | Daily, Weekly, Fortnightly, or Monthly |
| Days of Week | Which days the shift occurs (for weekly patterns) |
| Start Time / End Time | Shift hours for each occurrence |
| Location | Default to participant's home or specify a different venue |
| Template Start Date | First date shifts should be created from |
| Template End Date | Leave blank for ongoing; or set to the end of the participant's NDIS plan |
3
Click "Save Template".
4
Plannor asks: "Generate shifts now for how many weeks ahead?" Enter the number of weeks (e.g. 4 for a month ahead) and click "Generate".
Generating Shifts from a Template
You can re-generate future shifts from an existing template at any time:
1
Go to Shifts → Templates and click the template name.
2
Click "Generate Upcoming Shifts". Choose how many weeks ahead to create shifts for.
3
Plannor creates all shifts. Any that fall on public holidays are flagged in amber — you can decide whether to keep, cancel, or reschedule each one.
Set a calendar reminder to generate the next 4 weeks of shifts every month. Plannor won't generate shifts automatically — you trigger generation manually to maintain control.
Editing a Template
If a participant's support schedule changes, edit the template:
- Open the template → click "Edit Template"
- Make the changes (new time, different worker, etc.)
- Choose: apply changes to future shifts only or regenerate from a specific date
Editing a template does not update already-generated shifts. Use the bulk edit option on the Shifts list to update existing future shifts if needed.
Pausing or Ending a Template
To pause a template temporarily (e.g. participant is in hospital):
- Open the template → ⋯ Menu → "Pause Template". Enter the pause dates.
- To end permanently: → "End Template" and enter the last date.
Pausing a template does not affect existing generated shifts — you'll need to cancel those individually if the participant truly won't be receiving supports.
