Competency Matrix

The Competency Matrix lets you define the skills and qualifications your organisation requires, then track which staff members hold each competency and when they need to renew.

Where to find it: Navigate to Staff → Competency Matrix in the sidebar.

What Is a Competency?

A competency is any skill, qualification, or organisational standard that a staff member must hold to perform certain work. Examples:

Adding a Competency

Go to Staff → Competency Matrix and click "+ Add Competency".

Fill in the competency details:

CategoryGroup related competencies together (e.g. "Clinical", "Safety", "Mandatory")
Requires ExpiryTick if the competency needs to be renewed periodically (e.g. annually)
ActiveOnly active competencies appear in staff assignment lists

Click "Save Competency". It appears in the matrix grouped by category.

Assigning Competencies to Staff

Competencies are assigned to individual staff members from their profile:

Open the staff member's profile and go to the Compliance tab.

Click "+ Assign Competency". Select from your organisation's competency list.

If the competency requires an expiry date, enter when it was completed and when it expires. Upload a supporting document (training certificate, attendance record) if available.

Click "Save". The competency appears in the staff member's profile with a status badge: Current, Expiring Soon, or Expired.

Reading the Competency Matrix

The main Competency Matrix page shows:

Click the staff count badge on any competency to see which staff members hold it and their expiry status.

Editing & Deactivating Competencies

Click the pencil icon on any competency to edit its name, description, category, or settings. Deleting a competency also removes it from all staff who currently hold it — you will be warned before deletion. To keep the history intact, deactivate instead of deleting.

Create a "Mandatory" category for the competencies every staff member must hold. This makes it easy to audit new starters during onboarding.
