Messaging

Plannor's built-in messaging system keeps all team communication in one place — internal staff conversations, participant-specific threads, and cross-team coordination, without needing external chat apps.

Where to find it: Click Messages in the sidebar. Available to all logged-in users (Company Admins and Staff).

Starting a New Conversation

Click the compose / new message button (pencil icon) at the top of the inbox panel.

Search for and select the staff member(s) or participant you want to message. You can add multiple participants for a group conversation.

Type your first message and press Enter or click Send. The conversation appears in both your inbox and the recipient's inbox.

Participant Threads

Each participant in Plannor has their own message thread — a shared space where all staff working with that participant can post notes, updates, and coordination messages. This is separate from progress notes and provides a real-time communication channel.

Access a participant's thread directly from their profile page — click the Messages tab on the participant's profile to open their thread without navigating to the Messages section.

Sharing Files in Messages

Attach files to any message by clicking the paperclip icon in the message input. Supported formats: PDF, JPG, PNG, DOCX. Maximum 10 MB per file.

Do not share sensitive clinical information (medication charts, incident details) through the messaging system. Use the dedicated modules (Medications, Incidents, Progress Notes) which have proper audit trails and access controls.

Message Notifications

You receive a notification when:

Notifications appear as an in-app badge on the Messages icon in the sidebar. Email and push notification preferences can be adjusted in Settings → Notifications.

AI Thread Summary

The AI Chatbot can summarise a participant's message thread for you — useful for handovers or when you're joining a case mid-way. Ask: "Summarise the recent internal messages about Maria" and the chatbot will return a concise overview of the last few messages.
