Compliance & Certificates

NDIS providers must ensure all staff hold current required certifications before working with participants. Plannor tracks every certificate, sends expiry alerts, and blocks shift assignment for non-compliant workers.

Common Certificate Types

Adding a Certificate

Open the staff member's profile and click the "Compliance" tab.

Click "+ Add Certificate".

Fill in the certificate details:

Certificate TypeSelect from the list or type a custom certificate name
Certificate NumberThe licence/check number from the certificate document
Issue DateWhen the certificate was issued
Expiry DateWhen it expires (leave blank if no expiry)
Issuing Bodye.g. "Service NSW", "NDIS Commission", "Red Cross"
Document UploadUpload a photo or PDF of the certificate for verification

Click "Save Certificate". The certificate appears in the staff member's compliance record.

Plannor automatically tracks certificate expiry dates and alerts you:

The Compliance Dashboard (under Staff → Compliance) shows all expiring and expired certificates across your entire organisation in one view — great for weekly admin checks.

Required Certificates per Role

You can configure which certificates are mandatory for each role under Settings → Compliance Requirements. For example, you might require:

If a required certificate is missing or expired, the system displays a Non-Compliant badge and prevents assignment to shifts of the corresponding type.

Bulk Expiry Export

For annual audits or NDIS registration renewals, export a full compliance report from Staff → Compliance → Export. The CSV includes every staff member, every certificate, and current/expired status.
