Service Agreements
A Service Agreement is a written contract between your organisation and an NDIS participant (or their representative) outlining the supports you will provide, the costs, and the terms. NDIS best practice requires one before delivering supports.
Creating a Service Agreement

Go to Service Agreements in the sidebar, then click "+ New Agreement".

Select the participant. Their NDIS number, plan dates, and funding type auto-fill from their profile.

Complete the agreement details:

| Services to be Provided | Add each support type (e.g. Daily Personal Activities, Community Access). Include the NDIS support item number, unit, frequency, and rate. |
| Agreement Period | Start and end date (usually aligned with NDIS plan period) |
| Total Estimated Value | Calculated automatically from the support items entered |
| Cancellation Policy | Your organisation's short-notice cancellation terms (pre-filled from Settings) |
| Privacy Statement | How participant information is stored and used (pre-filled from Settings) |
| Dispute Resolution | Process for resolving disagreements (pre-filled from Settings) |
| Participant Responsibilities | What the participant/guardian agrees to (e.g. reasonable notice for cancellations) |
| Additional Notes | Any specific arrangements for this participant |

Click "Save Draft" to review before sending, or "Send for Signature" to immediately email it to the participant.
Sending for Signature
Plannor supports digital signing. When you send the agreement:
- The participant (or their authorised representative) receives an email with a secure link
- They open the agreement in their browser and can read the full document
- They click "I Agree & Sign" and type their name as a digital signature
- You receive a notification that it's been signed
- A signed PDF is saved to the participant's Documents folder
If the participant prefers to sign on paper, download a PDF → print → sign → scan back and upload to the participant's Documents folder manually.
Agreement Statuses
| Status | Meaning |
|---|---|
| Draft | Created but not yet sent to participant |
| Sent | Emailed to participant, awaiting signature |
| Signed | Participant has digitally signed; agreement is active |
| Expiring Soon | Agreement end date is within 30 days |
| Expired | Agreement end date has passed — you need to create a new one |
| Terminated | Agreement ended early by mutual agreement |
Renewing an Agreement
When a participant gets a new NDIS plan, you need a new service agreement. Instead of starting from scratch:
- Open the expiring agreement → click "Duplicate & Renew"
- Update the agreement period, rates (check the latest NDIS price guide), and any changed support items
- Send for signature as normal
Do not continue delivering supports on an expired agreement. Ensure renewals are prepared and signed before the old agreement expires.
